Reaching the right person matters more than reaching a lot of people. Here is a reliable way to find and verify decision-maker contact details.
1. Identify the role you need
Decide which job titles buy your product, such as CEO, managing director, head of marketing or operations manager. Smaller companies tend to route decisions to founders. Larger companies spread them across departments.
2. Find the person
- Company websites: team, about and leadership pages
- LinkedIn and Sales Navigator for current titles
- Press releases, conference speaker lists and industry directories
- Public registries and filings for company officers
3. Work out the email format
Companies usually follow a consistent pattern, such as first.last@company or first@company. If you find one confirmed address at the company, you can often infer the format. Treat inferred addresses as unverified until they have been checked.
4. Verify before you send
Verification typically checks the address syntax, whether the domain can receive email and, where possible, whether the mailbox exists. Some domains accept all addresses, so a result of “risky” or “unknown” should be handled with care. Role-based addresses such as info@ rarely reach a decision-maker.
5. Keep the data fresh
People change roles often. Re-verify an older list before each new campaign and remove anyone whose details have changed.
6. Respect privacy and local rules
Use business contact details that are relevant to the person’s role, keep your messages honest and make opting out easy. Requirements vary by region, so confirm what applies to your campaigns.
Tools or people?
Tools are fast at finding and checking addresses. People are better at confirming that someone really holds the title and is the right contact. The best results come from using both.
